Ritual Journeys – Terms & Conditions

These Terms & Conditions govern all bookings, services, experiences, and arrangements made through Ritual Journeys.
By confirming a booking, making payment, or participating in any experience organized by Ritual Journeys, the client acknowledges and agrees to the following terms.


1. Company Information

Ritual Journeys is a Bhutan-based luxury travel company specializing in curated honeymoon, wellness, cultural, and helicopter-integrated journeys throughout Bhutan.

2. Booking Confirmation

- A booking is considered confirmed only after:
written confirmation from Ritual Journeys, and receipt of the required deposit or full payment.

- All bookings are subject to availability of accommodations, transportation, helicopter operations, guides, permits, weather conditions, and third-party suppliers.


3. Payments

To secure your journey, the following payment schedule applies unless otherwise agreed in writing.

Booking Deposit

A 35% non-refundable deposit of the total booking value is required to confirm your reservation.
No accommodation, helicopter services, permits, guides, or other travel arrangements will be confirmed until the required deposit has been received by Ritual Journeys.

Final Balance

The remaining 65% balance must be paid no later than 65 days prior to the scheduled arrival date.
Bookings made within 65 days of arrival require full payment at the time of booking.
Failure to receive payment by the applicable due date may result in cancellation of the booking without liability to Ritual Journeys.

Payment Methods

Payments may be made using the payment methods approved by Ritual Journeys.
Any bank transfer fees, intermediary banking charges, exchange rate differences, or international transaction costs remain the responsibility of the client.

Supplier Commitments

Ritual Journeys works with carefully selected luxury hotels, helicopter operators, wellness providers, and other partners, many of whom require advance deposits and strict payment schedules. For this reason, all booking deposits are non-refundable except where otherwise required by law or expressly agreed in writing.

Government Charges

Government fees, including the Sustainable Development Fee (SDF), visa fees, taxes, or any other government-imposed charges applicable at the time of travel, remain payable by the client. Should the Royal Government of Bhutan introduce or amend taxes, fees, or mandatory charges after a booking has been confirmed, Ritual Journeys reserves the right to adjust the outstanding balance accordingly.

4. Pricing

All prices are quoted in USD unless otherwise stated.

Prices may change due to:

  • government taxes or fees

  • supplier pricing changes

  • aviation fuel adjustments

  • currency fluctuations

  • force majeure circumstances

Confirmed bookings remain protected at the agreed confirmed rate unless government-imposed changes occur.

5. Helicopter & Aviation Experiences

Helicopter operations are subject to:

  • weather conditions

  • visibility

  • air traffic control approvals

  • aircraft availability

  • safety considerations

  • operational restrictions

Ritual Journeys does not guarantee helicopter departures, landings, routes, timings, or access to specific locations.
Safety decisions made by pilots, operators, or aviation authorities are final.
Clients are responsible for arriving on time for all scheduled aviation experiences, transfers, and departures. Ritual Journeys shall not be held responsible for missed flights, shortened experiences, delays, or additional costs resulting from client lateness, failure to follow timing instructions, or failure to arrive at designated meeting points.
Alternative experiences, schedule modifications, or ground transportation may be substituted where required.

Partial or full refunds for weather-related aviation interruptions may be issued only where reasonably possible and strictly subject to the policies and decisions of the operating air carrier or aviation provider.
Clients acknowledge that mountain aviation involves inherent operational limitations, changing weather conditions, and operational variability.

6. Weather, Natural Conditions & Force Majeure

Bhutan is a mountainous destination where weather and road conditions may change rapidly.

Ritual Journeys shall not be held liable for delays, modifications, cancellations, losses, or interruptions caused by:

  • weather

  • landslides

  • earthquakes

  • floods

  • flight disruptions

  • political events

  • pandemics

  • government restrictions

  • acts of nature

  • civil unrest

  • supplier operational issues

  • or any event beyond reasonable control.

Where possible, Ritual Journeys will make reasonable efforts to provide suitable alternatives.

7. Third-Party Suppliers

Ritual Journeys works with independent hotels, helicopter operators, transportation providers, guides, wellness partners, restaurants, and activity suppliers. While experiences are carefully curated, Ritual Journeys cannot be held responsible for:

  • acts or omissions of third-party suppliers

  • operational failures

  • service interruptions

  • supplier cancellations

  • accidents caused by suppliers

  • or circumstances outside our direct control.

All suppliers operate under their own licenses, insurance, and operational procedures.

8. Travel Insurance

Comprehensive travel insurance is strongly recommended for all clients.

Clients are encouraged to obtain coverage for:

  • medical emergencies

  • evacuation

  • helicopter interruptions

  • trip cancellation

  • baggage loss

  • personal liability

  • weather disruptions

  • and international travel risks.

Ritual Journeys shall not be responsible for uninsured losses.

9. Health & Fitness

Clients are responsible for ensuring they are medically fit for travel and high-altitude experiences.

Certain activities may involve:

  • remote environments

  • altitude exposure

  • uneven terrain

  • physical activity

  • or changing weather conditions.

Clients must disclose any relevant medical conditions along with their weight (due to helicopter weight limits etc) prior to travel.

Ritual Journeys reserves the right to modify or deny participation in activities where safety concerns arise.

10. Client Conduct

Clients are expected to behave respectfully toward:

  • Bhutanese culture

  • local customs

  • religious sites

  • staff

  • guides

  • aviation personnel

  • and other guests.

Ritual Journeys reserves the right to terminate services without refund in cases involving:

  • dangerous behavior

  • harassment

  • illegal activity

  • intoxication causing risk

  • or conduct that compromises safety or operations.


11. Photography & Media

Ritual Journeys may occasionally capture photographs or videos during journeys for marketing purposes. If a client prefers not to appear in promotional content, written notice must be provided in advance. Professional photoshoots arranged for clients remain subject to supplier agreements and weather conditions.

12. Cancellations & Refunds

Due to the exclusive nature of our journeys and the advance commitments required by luxury hotels, helicopter operators, guides, wellness providers, and other partners, the following cancellation policy applies unless otherwise confirmed in writing.

Cancellation by the Client

  • The 35% booking deposit is non-refundable and secures your reservation, accommodations, permits, and supplier commitments.

  • Cancellations made 65 days or more before arrival will forfeit the booking deposit.

  • Cancellations made within 65 days of arrival are subject to a 100% cancellation fee, as the full balance becomes payable to suppliers and travel arrangements will have been confirmed.

  • No refunds will be provided for unused accommodation, meals, activities, transportation, helicopter flights, or other services once the journey has commenced.


Supplier-Specific Conditions

Certain hotels, helicopter operators, and exclusive experiences may operate under stricter cancellation policies than those outlined above. Where such conditions apply, the most restrictive supplier terms may take precedence and will be communicated to the client where relevant.

Amendments

Requests to amend travel dates or itineraries are subject to availability, supplier approval, and any applicable amendment fees. Ritual Journeys cannot guarantee that requested changes can be accommodated.

Refund Processing

Where a refund has been approved, it will be processed after all recoverable funds have been received from the relevant suppliers. Any refund may be reduced by supplier cancellation charges, banking fees, payment processing fees, currency exchange differences, administrative costs, and other non-recoverable expenses incurred by Ritual Journeys.

Cancellation by Ritual Journeys

Should Ritual Journeys be required to cancel a journey due to circumstances beyond our reasonable control, including but not limited to government restrictions, force majeure, safety concerns, or supplier insolvency, we will make every reasonable effort to offer suitable alternatives or recover available funds from suppliers. Refunds in such circumstances remain subject to supplier policies and any non-recoverable costs already incurred.

We strongly recommend that all clients purchase comprehensive travel insurance covering trip cancellation, interruption, medical emergencies, helicopter-related disruptions, and other unforeseen circumstances.

13. Itinerary Changes

Ritual Journeys reserves the right to adjust itineraries where reasonably necessary due to:

  • safety

  • weather

  • operational limitations

  • cultural events

  • supplier availability

  • or guest wellbeing.

Equivalent alternatives may be provided where possible.

14. Limitation of Liability

To the maximum extent permitted by law, Ritual Journeys shall not be liable for:

  • indirect losses

  • emotional distress

  • missed connections

  • loss of enjoyment

  • delays

  • weather interruptions

  • supplier failures

  • or circumstances beyond reasonable control.

Total liability, where applicable, shall not exceed the amount paid directly to Ritual Journeys for the affected service.

15. Governing Law

These Terms & Conditions shall be governed in accordance with the applicable laws and regulations of the Kingdom of Bhutan. Any disputes shall first be attempted to be resolved amicably and in good faith.

16. Acceptance

By confirming a booking, making payment, or participating in a Ritual Journeys experience, the client confirms acceptance of these Terms & Conditions.
